MEMBERSHIP TERMS AND CONDITIONS

I agree to:

  1. Strictly abide by, and uphold the Eastside Gymnastics Academy (EGA) Code of Behaviour outlined in Section 1 of this document

  2. The Re-enrolment and Cancellation Policy outlined in Section 2 of this document

  3. The Fee Policy outlined in Section 3 of this document

  4. The current EGA COVID-19 Safety Policy. N.B. the COVID-19 safety policy is subject to change in line with public health advice.

  5. The Make-up, Credit and Refund Policy outlined in Section 4 of this document.

  6. The Drop-Off and Pick-Up Procedures outlined in Section 5 of this document.

  7. The Eastside Gymnastics Academy Safety Rules outlined in Section 6 of this document.

  8. Any breach of the Membership Terms and Conditions or other Eastside Gymnastics Academy policies resulting in my child(ren)’s enrolment at Eastside Gymnastics Academy being reviewed.

SECTION 1 - CODE OF BEHAVIOUR

Eastside Gymnastics Academy (EGA) is committed to member protection. EGA requires all users of the club’s equipment, venue and programs including but not limited to participants, coaches, parents and caregivers, administrators, judges, and spectators, to always follow the following Code of Behaviour.

  1. Respect the rights, dignity, and worth of all others.

  2. Be fair, considerate, and honest in all dealings with others.

  3. Respect, encourage and celebrate the achievements, talent, potential and development of all participants and competitors.

  4. Respect and care for the equipment and facility.

  5. Cooperate with coaches and staff in adhering to the programs provided.

  6. Remember that we are all involved in the sport primarily for the experience and enjoyment of the participants.

  7. Focus on the efforts and personal achievements of participants rather than winning or losing.

  8. Show appreciation for good performance by all participants, including the opposition.

  9. Allow fellow parents the respect they deserve in the viewing or involvement in their child’s participation.

  10. Be aware of and apply the appropriate club or state body’s policy on photography

  11. Accept responsibility for your actions.

SECTION 2 – RE-ENROLMENT AND CANCELLATION POLICY

Enrolments automatically carry over each term and year. Membership with Eastside Gymnastics Academy is ongoing until cancellation has been communicated with staff via both an email to a manager AND a drop request has been submitted through the Customer Portal on iClassPro.

Verbal notification is not a sufficient means to cancel enrolment.

Prior to the end of term, notification of the re-enrolment cancellation deadline for the following term will be advertised. Unless cancellation is received by the cancellation date received, re-enrolment will automatically be confirmed, and fees for the upcoming term will be owed. For withdrawals received after the cancellation deadline, the associated fees for the following term are owed and are non-refundable.

Fees for participants who cease to attend class without notification are non-refundable. Make-up classes, credits or refunds may be available in line with Section 4 of this document.

 

SECTION 3 - FEES AND TUITION POLICY

Fees at Eastside Gymnastics Academy cover the following:

  1. Regular tuition from a qualified coach in a chosen class.

  2. Membership with Eastside Gymnastics Academy.

  3. Registration with Gymnastics Australia.

  4. Personal Accident insurance (see GA and GT website for more information).

The Registration fee is a non-refundable fee covering registration with Gymnastics Australia and insurance with Marsh Advantage Insurance. This registration covers the period January 1 – December 31 of the current year and is transferable to any other registered club in Australia. If you wish to make a claim in the event of an injury, please ask a staff member.

Fees are due in advance by the due date outlined in the invoice and are charged by term. Alternative payment schedules may be available by arrangement with EGA management.

Preferred method of payment is via the Customer Portal of iClassPro, but may also be paid by direct deposit, cheque, or cash.

Participants with registration fees more than 7 days outstanding do not have insurance cover and will not be permitted to attend classes.

Participants with class fees more than 7 days outstanding will not be permitted to participate until fees are paid, and may have their spot in the class cancelled, with fees still owed.

Fees are owed for enrolled classes regardless of attendance in class. Exceptions may be made in line with the Make-up, Credit and Refund Policy in Section 4 of this document.

Eastside Gymnastics Academy offers a discount for multiple members from the same family. A 20% discount will be applied to the second, and each subsequent enrolment from the same family. The primary full-fee enrolment will be the highest term fee.

 

SECTION 4 - MAKE-UP, CREDIT AND REFUND POLICY

Enrolment in classes at EGA are for all classes across the term of the billing period and are non-refundable.

Inability to attend class due to other commitments does not entitle the participant to a refund or credit. EGA reserves the right to provide make-up classes, fee credit, or refunds in certain circumstances at the discretion of club management.

Potential situations eligible for a make-up class, credit or refund:

  • New members may be eligible for a refund on completion of a cancellation form within 21 days of the first class.

  • Major injury or illness – cancellation form must be accompanied by medical certificate and produced within 21 days of the first class missed.

  • Special circumstances, i.e. relocating, loss of employment, serious illness in the family.

  • Cancellation of classes (individual or program) by EGA due to exceptional circumstances i.e. extreme weather conditions, staffing issues.

  • Merchandise, if un-opened, un-worn, or faulty. Refunds will not be given if damage is due to washing or poor care of the article.

Requesting a Credit, Make-Up Class or Refund

All requests must be in writing and submitted with appropriate evidence to a manager via email. Verbal requests will not be considered and will not constitute a formal request.

Requests for make-up classes must be received by 3:00pm the day prior to the class being requested.

SECTION 5 – DROP-OFF AND PICK-UP PROCEDURES

For safety reasons, all classes include a warm-up component. The warm-up is a critical part of a gymnastics program and is essential to ensure all gymnasts are physically and mentally prepared for their gymnastics activities. 

Participants should aim to arrive with plenty of time to enable the commencement of class on time.

Participants arriving more than 10 minutes after the commencement of the class will not be permitted to take the floor and participate in their class as they have missed warm-up.

Participants shall be picked up at the scheduled class finish time. Children under the age of 12 will remain inside in the at   hlete room until a parent/guardian has come inside to collect them. Parents/guardians should make efforts to inform coaching staff if they will be late for pick-up.

The car park is a 5KM/H shared zone, and during peak times the parking lot can be very crowded and may have young children present. Drivers should drive slowly and carefully and always give way to pedestrians. During the peak period 4:00 p.m. and 5:30 p.m. drivers are requested to make the driveway one-way by exiting via the far end of the driveway, by the ninja building.

There are two Disabled Parking Spots located in front of the main building. These are for permit holders only and are not a drop off/pick up zone.

SECTION 6 – SAFETY RULES

  1. Only registered coaches and athletes are permitted on the gymnastics floor except for parents/guardians in parent assisted programs.

  2. Anyone not participating in a class must remain in the viewing area.

  3. Participants must wait in the athlete waiting areas before class until collected by their coach.

  4. Equipment may only be used under the supervision of an accredited coach.

  5. Running is not permitted, unless instructed by the coach.

  6. Food or drink is not permitted outside the viewing and athlete areas.

  7. Eastside Activity Centre’s buildings and car park are a smoke free environment.

  8. Athletes must wear Eastside Gymnastics Academy uniform and abide by the Uniform Rules.

 

SECTION 7 – UNIFORM RULES

Gymnastics requires that participants wear particular clothing to protect themselves and coaches.

  1. No jewellery is permitted.

  2. Long hair must be tied up neatly.

  3. Gymnasts must wear a club leotard or club t-Shirt (some classes may have specific requirements).

  4. No clothing with skirts, zips, buckles, buttons, or hoods.
